Job Overview

The Project Coordinator – Procurement plays an important role in supporting the technical and procurement division by coordinating projects, managing documentation, and maintaining operational systems and assets.

The role ensures smooth communication between internal teams, suppliers, and stakeholders while assisting with incident management, reporting, and analytics. By maintaining accurate documentation, dashboards, and performance reports, the coordinator helps drive efficient procurement operations and continuous process improvement.


Key Responsibilities

Technical and Procurement Support

Provide first-level assistance to internal and external stakeholders through phone, email, and support systems. Diagnose and resolve hardware, software, or network issues and escalate complex cases where necessary. Maintain accurate incident logs and ensure resolutions are properly documented. Assist with onboarding and offboarding processes including user accounts, permissions, and system access.

Reporting and Analytics

Prepare and maintain operational and procurement performance reports on a daily, weekly, and monthly basis. Maintain dashboards and analytics tools to monitor performance and operational efficiency. Identify recurring issues using trend analysis and provide insights that support corrective actions and decision-making.

Communication and Stakeholder Coordination

Act as the communication link between technical teams, procurement teams, suppliers, and internal stakeholders. Provide updates on project progress, system notifications, and incident resolution to ensure smooth information flow.

Documentation Management

Create, update, and manage technical documentation such as standard operating procedures, reports, and bulletins. Ensure proper version control and compliance with documentation standards while maintaining centralized digital and physical repositories.

System and Asset Maintenance

Track and manage software, hardware, and licensing assets. Capture and validate asset information and monitor dashboards to detect anomalies that may require escalation.

Project Coordination

Coordinate procurement and technical projects from initiation to completion. Prepare schedules, documentation, and work packs while tracking milestones and following up on outstanding actions.

Process Improvement

Identify inefficiencies within procurement and technical processes and recommend improvements. Assist with compliance tracking, root-cause documentation, and corrective actions related to operational incidents.


Qualifications

Education

A Diploma or Advanced Certificate in Supply Chain Management, Business Administration, Project Coordination, or a related field will be advantageous.

Experience

Experience supporting procurement, administrative, or project coordination functions will be beneficial. Exposure to operational reporting, documentation management, or system support environments will also be advantageous.

Skills

  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office applications including Excel, Word, and Outlook.
  • Excellent written and verbal communication skills.
  • Analytical thinking with strong problem-solving capabilities.
