Job Overview
Sappi is seeking an Administration Clerk – Khulisa to support the administrative operations of its Khulisa training programme within the Forestry division.
The role focuses on coordinating training centre bookings, managing administrative records, supporting operational logistics, and assisting with reporting. The successful candidate will ensure that training facilities are efficiently utilised and administrative processes are maintained to support training initiatives for growers and contractors.
This position requires strong organisational skills, attention to detail, and the ability to manage multiple administrative responsibilities.
Key Responsibilities
Training Coordination

Manage bookings for training courses using the Khulisa calendar system

Maintain up-to-date booking schedules for training centres and facilities

Coordinate with internal and external training facilitators to ensure facilities are prepared for training sessions
Administrative Record Management

Manage and verify training attendance registers

Capture training information on the Learning Management System (LMS) and training databases
-
Maintain accurate records of growers and contractors participating in training programmes
Facility and Service Coordination

Oversee housekeeping and catering services at training centres

Ensure facilities are maintained within budget and ready for training activities

Monitor service provider performance through regular audits and inspections
Procurement and Contract Administration

Initiate RFP processes for new or renewed service contracts

Upload contract documentation to ensure legal compliance

Ensure business transactions are supported by valid agreements
Financial and Travel Administration
-
Process supplier invoices within required timelines using SAP

Assist with travel and accommodation bookings for Khulisa staff and management

Monitor and manage travel-related expenses
Safety and Asset Management

Conduct monthly safety inspections of training facilities and equipment
-
Maintain and update the asset register
-
Monitor usage of company equipment and training resources
Reporting and Communication

Assist managers in preparing monthly operational reports

Consolidate and edit documentation for senior management communication

Maintain training utilisation records and reporting documentation
Qualifications
Education
-
Grade 12 (Matric)
-
Administrative qualification will be advantageous
Experience
-
Minimum 2 years of administrative experience
-
Experience in training coordination, operations support, or office administration
Skills
-
Strong computer literacy (Microsoft Word, Excel, PowerPoint)

Knowledge of SAP systems is advantageous

Excellent organisational and record management skills

Strong attention to detail and administrative accuracy

Ability to manage multiple tasks and deadlines

Valid Code EB driver’s licence
