As an Administration Specialist, you will be instrumental in ensuring smooth operations within the team, taking on critical administrative tasks, and supporting internal and external stakeholders.

Key Responsibilities

  • General Administration:

    • Draft correspondence, schedule appointments, and maintain data for efficient office operations.
    • Produce, update, and support best practices for a variety of documents and departmental systems.
  • Business Meetings & Event Coordination:

    • Coordinate and arrange meetings, conferences, and travel plans for senior colleagues.
    • Schedule and organize appointments to ensure senior staff members utilize their time effectively.
  • Correspondence Management:

    • Prepare routine letters, emails, and reports for approval by senior management.
    • Take meeting minutes and ensure all correspondence is accurate and up-to-date.
  • Document Preparation:

    • Prepare moderately complex documents using various applications and summarize data for reports.
  • Data Collection & Reporting:

    • Collect and compile data from various sources to generate standard reports.
    • Extract insights and produce reports that assist senior leadership in decision-making.
  • Budget & Financial Analysis:

    • Assist with budgeting tasks by monitoring and analyzing financial data.
  • Operational Compliance & Procurement:

    • Ensure adherence to company policies and regulatory codes.
    • Assist in simple procurement tasks following established protocols.
  • Personal Development:

    • Build your capabilities by participating in training, assessments, and coaching activities.

Required Knowledge & Skills

  • Industry Experience: Minimum 3 years of working experience in the financial services industry. A degree is advantageous.
  • Computer Literacy: Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with stakeholders.
  • Time Management: Ability to work under pressure and handle multiple tasks effectively.
  • Analytical Skills: Strong attention to detail with a focus on accuracy in reporting and data collection.
  • Problem Solving: Ability to use critical thinking and judgment to resolve issues quickly and efficiently.
