The University of Pretoria (UP), one of South Africa’s leading higher education and research institutions, is looking for a detail-oriented and proactive Administrative Officer to join its Pre-University Academy (UP-PUA) team within the Faculty of Education.

This role plays a vital part in supporting the administrative framework that enables the success of UP’s academic and student-focused initiatives. The successful candidate will work closely with both the UP-PUA and the Career Hub, providing exceptional office, event, and data management services that align with the University’s values of excellence, diversity, and impact.


Key Responsibilities:

As an Administrative Officer, your duties will include:

Office Administration – Manage day-to-day administrative operations, ensuring seamless functioning of the UP-PUA.
Secretarial Support – Serve as secretariat for UP-PUA and Career Hub meetings, taking minutes and managing follow-ups.
Financial Coordination – Assist with budgeting, processing payments, tracking expenses, and managing financial records.
Learner Data Management – Maintain and update student records and ensure confidentiality and accuracy.
Internal and External Communication – Act as a liaison between departments and external stakeholders.
Event Coordination and Marketing – Plan, organize, and promote events and outreach programmes.


Minimum Requirements:

To be considered for this role, you must have:

  • A 3-year National Diploma in Office Administration (or equivalent), with at least 2 years of relevant experience,
    OR

  • A Grade 12 certificate with at least 4 years of relevant administrative experience.


Preferred Skills & Competencies:

  • Proficiency in Microsoft Office, especially Excel

  • Knowledge of financial and project administration

  • Strong secretarial and office management skills

  • Experience with event planning and coordination

  • Ability to work under pressure with high attention to detail

  • Excellent written and verbal communication skills


Added Advantages:

  • A relevant university degree

  • A Project Management or Event Coordination diploma

  • Experience in a tertiary academic environment

  • Familiarity with ERP systems such as PeopleSoft (including financial modules)

  • Understanding of public relations and budgeting

  • Proven experience in project coordination
