About the Role

The University of Pretoria, a leading research institution committed to academic excellence and diversity, is seeking a dedicated Administrative Officer to join the Health Sciences Dean’s Office. This key position supports undergraduate student administration, managing applications, records, and examination processes, ensuring smooth and efficient student services.


Key Responsibilities

  • Administer and process all undergraduate student applications with accuracy and efficiency.

  • Review external and internal academic results to assist in student admission decisions.

  • Provide guidance to applicants on the selection process, enhancing their understanding and experience.

  • Support the orientation and registration of undergraduate students.

  • Prepare and attend examination moderation meetings, manage exam marks, and identify graduating finalists.

  • Capture and update curriculum details, prerequisites, and class information within student databases.

  • Assist with graduation ceremonies and participate in school, career, open, and ChooseUp days.

  • Manage student enquiries received via walk-ins, emails, and telephone calls with professionalism and patience.

  • Support general student administration functions and execute ad hoc tasks as directed by the line manager and Head of Student Administration.

  • Collaborate effectively with colleagues to ensure consistent support within the division.


Minimum Requirements

  • A relevant three-year National Diploma with at least two years of experience in student administration and admissions within higher education,
    OR

  • Grade 12 with four years of extensive experience in student administration and admissions within higher education.


Required Skills & Competencies

  • Strong knowledge of Universities South Africa (USAF), South African Qualifications Authority (SAQA), HPCSA, and SANC requirements.

  • Experience working with non-NSC school leaving qualifications.

  • Proficient in MS Word, Excel, Gmail, and internet applications.

  • Excellent interpersonal skills, organizational ability, and a strong commitment to excellence.

  • Effective communication skills with the ability to interact at all organizational levels and with diverse clients.

  • Ability to work independently and collaboratively as part of a team.

  • High level of discretion, confidentiality, and meticulous attention to detail.

  • Ability to manage pressure and meet deadlines.


Added Advantages

  • Experience with PeopleSoft in Student Administration, particularly in the Undergraduate Division.

  • A Bachelor’s degree in a relevant field.
