About the Role:

The University of Pretoria (UP), one of South Africa’s leading research institutions, is looking for a highly organized and proactive Administrative Officer to join its Pre-University Academy (UP-PUA) under the Faculty of Education. In this pivotal role, you will provide comprehensive administrative and secretarial support to both the UP-PUA and the Career Hub, ensuring smooth coordination of day-to-day functions.

Key Responsibilities:

  • Ensure efficient office management and administrative operations of UP-PUA.

  • Serve as secretariat for both the UP-PUA and Career Hub: managing meeting logistics, minutes, and follow-up actions.

  • Oversee financial administration including payments, budgeting support, and reconciliation.

  • Manage and maintain learner data, ensuring accuracy and confidentiality.

  • Liaise effectively with internal and external stakeholders and coordinate timely communication across departments.

  • Plan and execute event coordination and marketing activities for UP-PUA and Career Hub.


Minimum Requirements:

  • A 3-year National Diploma in Office Administration (or equivalent) and 2 years of relevant experience
    OR

    • A Grade 12 certificate with 4 years relevant experience


Key Competencies & Skills:

  • Excellent administrative and secretarial skills

  • Strong experience in financial/project administration

  • Proficiency in Microsoft Excel and other MS Office tools

  • Event coordination capabilities

  • Effective interpersonal and communication skills

  • Ability to handle multiple priorities and deadlines


Added Advantages:

  • A relevant bachelor’s degree

  • A diploma in Project Management or Event Coordination

  • Experience in an academic or tertiary institution

  • Working knowledge of PeopleSoft ERP systems

  • Background in public relations and budgeting

  • Solid project management experience
