Job Description:

Motus Menlyn is seeking a dedicated and experienced Administrator: Bookings to join their Hyundai and KIA franchise team. This essential role requires an individual who is efficient, organized, and has a passion for providing exceptional customer service in the automotive industry. As a Bookings Administrator, you will oversee scheduling, customer interactions, and ensure the smooth running of the vehicle service department.

Key Responsibilities:

Vehicle Service Scheduling:

  • Manage and coordinate all vehicle service bookings, ensuring optimal scheduling for smooth operations.
  • Collaborate with the workshop and service advisors to ensure timely service delivery.

Customer Interaction:

  • Provide excellent customer service, answering queries, assisting with bookings, and offering information about the services available.
  • Be the first point of contact for clients, ensuring a positive experience throughout their journey.

Administrative Duties:

  • Update and maintain accurate customer records and service history within the dealership’s system.
  • Handle various administrative tasks, including paperwork, reporting, and data entry.

Reception Duties:

  • Manage the reception area, handling incoming calls, greeting customers, and addressing inquiries promptly and professionally.

Dealership System Management:

  • Use dealership systems like Drive to manage customer data and ensure all service bookings are logged and processed correctly.
  • Ensure adherence to dealership policies and procedures to maintain operational standards.

Requirements & Qualifications:

Matric (Grade 12) or equivalent qualification.
Previous experience in a dealership environment is mandatory.
✔ Experience as a Bookings Clerk or in a similar administrative role within an automotive context.
Receptionist experience and exposure to customer-facing roles.
✔ Strong customer service skills with the ability to handle queries efficiently.
Basic numeracy skills and understanding of basic calculations.
✔ Knowledge of dealership procedures and systems is essential.
Technical knowledge of automotive services is an advantage.
✔ Familiarity with the Drive system is highly beneficial.
Multilingual abilities are an added advantage, particularly for dealing with diverse customer bases.
