Job Summary:
Motus Menlyn Multifranchise (Hyundai and KIA) is looking for an Administrator: Bookings to join their dynamic team. This pivotal role is focused on managing the booking process for vehicle services, ensuring smooth operations within the dealership, and delivering excellent customer service. Key Responsibilities:
✔ Vehicle Bookings Management:
- Handle and manage vehicle service bookings ensuring accurate scheduling and efficient service delivery.
- Coordinate with the workshop and service advisors to ensure timely service appointments.
✔ Customer Interaction:
- Provide excellent customer service by assisting clients with queries, booking requests, and ensuring their needs are met efficiently.
- Serve as the first point of contact for customers, providing them with information about services and promotions.
✔ Administrative Support:
- Perform various administrative tasks related to vehicle bookings, including updating customer records and maintaining the database.
- Ensure all service-related documentation is completed accurately and filed properly.
✔ Dealing with Inquiries:
- Respond promptly to customer inquiries via phone, email, or in-person, maintaining professionalism at all times.
- Resolve issues or escalate matters to relevant departments when necessary.
✔ Dealership Procedures and Systems:
- Follow all dealership policies and procedures to ensure smooth and consistent operations.
- Use the Drive system and other relevant operating systems to manage bookings and customer data efficiently.
Minimum Qualifications and Experience:
✔ Matric Certificate (Grade 12) or equivalent qualification.
✔ Previous experience working in a dealership is mandatory.
✔ Must have experience as a Bookings Clerk in an automotive environment.
✔ Receptionist experience is required, including handling customer inquiries and managing front desk operations.
✔ Strong customer service experience with the ability to maintain positive client relationships.
✔ Basic numeracy and an understanding of basic mathematical concepts.
✔ Knowledge of dealership policies and procedures is essential.
✔ Technical experience in an automotive environment is advantageous.
✔ Familiarity with the Drive system is a strong advantage.
✔ Multilingual is preferred, especially in languages commonly spoken in the local area.
