As an Administrator, you will be responsible for providing administrative, analytical, and project support to the distribution channel while maintaining strong relationships with both internal and external stakeholders. Your expertise in managing processes, complaints, and reporting will ensure smooth operations within the team.
Key Responsibilities
📑 Administration and Process Management
- Assist in setting up and maintaining effective administrative processes.
- Manage and oversee the channel’s complaints processes to ensure timely resolution.
- Process invoices and weekly broker commission payments.
- Collate and analyze information for management and financial reporting.
- Ensure compliance with internal policies and regulatory codes.
🤝 Stakeholder Management
- Build and maintain strong relationships with both internal and external stakeholders.
- Ensure service delivery meets stakeholder needs within defined SLAs.
- Collaborate with the Retention’s Team to facilitate policy retention.
📊 Project and Data Management
- Provide ad hoc project support (marketing, events, etc.).
- Organize your own schedule and ensure work is completed efficiently.
- Supervise junior administrators and delegate short-term tasks.
- Maintain a centralized archive for all distribution-related data and documentation.
- Assist with the compilation of presentations.
🔐 Risk Management and Compliance
- Vet new broker applications and ensure compliance with contractual regulations.
- Manage new business processes, ensuring risks are minimized.
- Help manage broker debt and ensure smooth operations.
- Develop and monitor risk management processes for new and existing brokers.
Required Qualifications and Experience
🎓 Education
- Diploma or Degree in the Company Secretarial field (Advantageous).
- SAQA Accredited Equivalent (Essential).
- School Grade 12 (Required).
💼 Experience
- At least 2 years of experience in an administrative role, specifically in company secretarial duties.
- Minimum 2 years of experience in recruitment, exposure to the full recruitment cycle is essential.
- Strong background in general administration services and data collation.
