π― Position Overview
IIE MSA is seeking an organized and detail-oriented Admissions Officer to join the Academic Operations team. The successful candidate will play a crucial role in managing student applications, registration, and graduation processes, ensuring accuracy and compliance with institutional policies. You will work closely with various teams to optimize the admissions experience for both students and staff.
π Key Responsibilities
Student Application & Admission Administration
- π Manage Applications: Process and evaluate student applications in accordance with set criteria, ensuring timely and accurate responses.
- π Collaboration: Work closely with the student retention team to resolve admission queries and ensure smooth processing of applications.
- π Communication: Inform prospective students of their admission status and guide them through the necessary steps.
- π Monitor Progress: Track student admissions through to registration, ensuring all required documents are submitted.
- π Admissions Compliance: Liaise with the Senior Admissions Officer and Registrarβs office on any issues related to declined admissions or expired offers.
Student Registration Administration
- π Verify Registrations: Ensure that all student registrations meet admission criteria and that required documentation is accurately processed.
- π Manage Changes: Oversee the de-registration and transfer process, ensuring all updates are recorded and communicated to the Finance department.
- ποΈ Document Management: Ensure student records are kept and archived in compliance with the Protection of Personal Information Act (PoPIA).
- π International Student Compliance: Monitor documentation and compliance for international students to ensure proper registration and visa documentation.
Graduation Administration
- π Eligibility Checks: Verify the eligibility of students for graduation, including those who may be graduating outside their designated year.
- π Coordinate Graduation: Prepare certificates, verify program requirements, and ensure that all graduation details are finalized.
- π Reprint Certificates: Facilitate the reprint of qualification certificates when necessary.
Ticket Management & Reporting
- ποΈ Manage Tickets: Process and track admissions, graduation, and registration tickets, ensuring timely resolution of queries.
- π Reporting: Regularly report on admissions progress and any outstanding issues to the Senior Admissions Officer and Head of Academic Operations.
π Required Qualifications & Experience
Education:
- π Minimum of National Diploma/Advanced Certificate (NQF Level 6).
- π Advanced Diploma or Degree (NQF Level 7) is advantageous.
Experience:
- πΌ Minimum of 2 years administrative experience, ideally with a background in admissions or academic administration.
π οΈ Skills & Competencies
- π£οΈ Communication Skills: Superior interpersonal and communication abilities to effectively interact with students and staff.
- π₯οΈ Computer Proficiency: Experience with office software and student management systems.
- π Planning & Time Management: Strong organizational skills with the ability to manage multiple tasks under pressure.
- π Attention to Detail: A systematic and organized approach to managing student records and processing applications.
- β³ Deadline-Driven: Ability to meet deadlines and work efficiently to ensure smooth admissions and registration processes.
πΌ Working Hours
- Monday to Friday: 08:00 – 17:00
- Alternate Saturdays: As required
