Executive Assistant – Midrand

π Key Responsibilities:
As an Executive Assistant, your duties will include a wide range of administrative tasks to help keep the Executive’s office running smoothly. Your responsibilities will include:
- Managing Executive Calendar: Schedule appointments, meetings, and engagements. Run errands as needed. ποΈ
- Travel Coordination: Manage both business and personal travel arrangements, ensuring seamless planning. βοΈ
- Communication Handling: Screen calls, emails, transmittals, and visitors to prioritize important communication. π
- Meeting Preparation: Prepare agendas, attend meetings, and transcribe handwritten notes into formal correspondence. π
- Follow-up on Action Items: Ensure all matters within the Executiveβs office are followed up on and responses are tracked. π
- Event Coordination: Organize onsite meetings, lunches, coffee breaks, and in-house events. π₯
- Data Management: Maintain systems for office data, filing, and contact records. π
- Steering Committee Support: Organize Steering Committees/Operations meetings, prepare agendas, and distribute meeting packs. π
- Ad-hoc Research: Conduct research for the Executive when required. π
- Miscellaneous Tasks: Handle various office and personal errands as needed. ποΈ
- General Office Support: Perform other duties that may be reasonably requested by the Executive. βοΈ
π Qualifications & Experience:
- PA or Office Administration qualification (preferred)
- Finance qualification (an added advantage) πΌ
- 3-5 yearsβ experience as an Executive or Personal Assistant
- Previous experience in the EPC industry will be beneficial ποΈ
- Excellent communication skills (both written and verbal) π£οΈ
- Extremely detail-oriented with a focus on accuracy and quality βοΈ
- Creative problem-solving skills π‘
- Flexibility to work extra hours during busy periods β°
- Ability to work independently with minimal direction π§βπ»
- Experience in handling travel arrangements π
- High level of interpersonal skills to interact with diverse groups π
- Ability to maintain confidentiality at all times π
- Reliable vehicle or automobile π
- Proficiency in Microsoft software and willingness to learn company-specific tools π₯οΈ
