As an Executive Assistant, your duties will include a wide range of administrative tasks to help keep the Executive’s office running smoothly. Your responsibilities will include:

  • Managing Executive Calendar: Schedule appointments, meetings, and engagements. Run errands as needed. πŸ—“οΈ
  • Travel Coordination: Manage both business and personal travel arrangements, ensuring seamless planning. ✈️
  • Communication Handling: Screen calls, emails, transmittals, and visitors to prioritize important communication. πŸ“ž
  • Meeting Preparation: Prepare agendas, attend meetings, and transcribe handwritten notes into formal correspondence. πŸ“
  • Follow-up on Action Items: Ensure all matters within the Executive’s office are followed up on and responses are tracked. πŸ”„
  • Event Coordination: Organize onsite meetings, lunches, coffee breaks, and in-house events. πŸ₯‚
  • Data Management: Maintain systems for office data, filing, and contact records. πŸ“‚
  • Steering Committee Support: Organize Steering Committees/Operations meetings, prepare agendas, and distribute meeting packs. πŸ“‘
  • Ad-hoc Research: Conduct research for the Executive when required. πŸ”
  • Miscellaneous Tasks: Handle various office and personal errands as needed. πŸ›οΈ
  • General Office Support: Perform other duties that may be reasonably requested by the Executive. βœ”οΈ

πŸ“š Qualifications & Experience:

  • PA or Office Administration qualification (preferred)
  • Finance qualification (an added advantage) πŸ’Ό
  • 3-5 years’ experience as an Executive or Personal Assistant
  • Previous experience in the EPC industry will be beneficial πŸ—οΈ
  • Excellent communication skills (both written and verbal) πŸ—£οΈ
  • Extremely detail-oriented with a focus on accuracy and quality βœ”οΈ
  • Creative problem-solving skills πŸ’‘
  • Flexibility to work extra hours during busy periods ⏰
