Role Overview
As a Bookings Clerk at Hyundai N1 City, your role will focus on ensuring the timely and accurate processing of warranty claims, maintaining strong relationships with customers, and adhering to company policies. You will support the smooth running of operations by ensuring all claims and documents are processed according to the required standards.
Key Responsibilities:
✔ Vehicle Documentation: Validate vehicle data and documentation before inputting.
✔ Job Card Review: Review job cards for accuracy before costing for car shop, paint, and panel.
✔ Claims Processing: Ensure correct damage codes are applied on all claims and expedite claim queries.
✔ Parts Management: Maintain the parts claim store and ensure all parts are tagged and sent to suppliers within specified times.
✔ Paint Shop Claims: Process all paint shop claims efficiently and in line with company standards.
✔ HASA Liaison: Collaborate with the HASA warranty claims department to ensure smooth processing of claims.
✔ Back-Order Management: Follow up on outstanding warranty back-order parts and ensure customers return for repairs.
✔ Warranty Checks: Ensure vehicles are within the warranty period and check vehicle history for previous warranty work.
✔ Mileage and Inspection: Verify correct mileage and ensure all vehicles are inspected and diagnosed by the workshop.
✔ Parts Availability: Ensure warranty part availability and correct part numbers are recorded on warranty claim forms.
✔ Authorization: Obtain the necessary authorisation before commencing repairs, following warranty policy at all times.
✔ Warranty Reconciliation: Reconcile job cards, invoices, and warranty claims to a register, ensuring claims are submitted within 7 days.
✔ Filing and Reporting: Maintain warranty filing by chassis number and track parts over 30 days for incentive purposes.
Qualifications and Experience:
✔ Education: Matric or equivalent qualification.
✔ Experience: Over 2 years of experience in a similar role within the automotive industry.
✔ Skills:

Previous experience in a similar role is a must
