Position Overview: Business Assistant
Neosun Energy is seeking a highly organized, proactive Business Assistant to support the Head of Sales in all administrative tasks and assist with the management of office facilities. This role involves managing daily administrative duties, ensuring smooth operations within the sales department, and overseeing the maintenance and organization of office facilities. The ideal candidate will have excellent multitasking and communication skills and be comfortable in a fast-paced work environment.
Key Responsibilities
Administrative Support to Head of Sales
📅 Calendar & Schedule Management:
- Provide high-level administrative support to the Head of Sales, including scheduling meetings and coordinating travel arrangements.
- Act as a liaison between the Head of Sales and external stakeholders, ensuring timely and accurate communication.
📂 Organizational Support:
- Maintain and organize filing systems, both physical and digital, ensuring easy access to important documents.
- Assist in tracking sales metrics, preparing materials for meetings, and supporting sales reviews.
📞 Switchboard and Communication:
- Answer the office switchboard and direct calls to relevant team members efficiently.
Facilities Management
🏢 Office Maintenance & Organization:
- Oversee daily office operations, ensuring that the workspace is safe, clean, and well-maintained.
- Liaise with vendors, contractors, and service providers for office repairs, cleaning, and general upkeep.
📦 Office Supplies & Inventory Management:
- Manage office supplies inventory to ensure all necessary materials are stocked and readily available.
- Organize office spaces, including arranging furniture, equipment, and layouts to optimize efficiency.
🛠 IT & Infrastructure Support:
- Resolve internet and IT issues, ensuring the office is equipped with functioning technology.
Additional Responsibilities
🎉 Event Coordination:
- Assist with organizing internal and external events, including sales meetings, client interactions, and company-wide events.
🔒 Confidentiality & Discretion:
- Handle sensitive and confidential information with utmost discretion.
🤝 Cross-Departmental Support:
- Provide general support to other departments to ensure smooth operations across the company.
Requirements
To succeed in this role, you should have:
🎓 Educational Background:
- Proven experience as a Business Assistant, Administrative Assistant, or in a similar role.
💼 Experience & Skills:
- Excellent organizational skills with the ability to multitask and manage time effectively.
- Strong verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Attention to detail with strong problem-solving abilities.
- Experience in facilities management or related fields is a plus.
- A proactive attitude and a hands-on approach to problem-solving.
