About the Role
As a Client Services Representative Assistant, you will be the vital link between clients and internal teams, ensuring that client accounts are managed efficiently and professionally. Your proactive approach will help guarantee timely completion of services and maintain the exceptional reputation of GIA.
Key Responsibilities
✅ Monitor and manage client accounts to ensure smooth, on-time service completion
✅ Communicate directly with clients to address queries, arrange shipments, provide reports, billing info, and service updates
✅ Escalate client concerns appropriately to resolve production, shipping, scheduling, or invoicing issues
✅ Assist with various administrative tasks as assigned by your supervisor
What You’ll Bring
✔ Basic proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
✔ Willingness and ability to learn GIA proprietary systems (e.g., Spectrum, Searchlight)
✔ Strong communication skills to interact effectively with clients by phone, email, or in person
✔ Excellent problem-solving abilities for routine and repetitive issues
✔ Patience, professionalism, and stress tolerance when dealing with challenging client interactions
✔ Ability to multi-task, prioritize, and manage your time well in a fast-paced environment
Knowledge & Abilities
🌟 Familiarity with lab production workflows is a plus
🌟 Basic understanding of standard operating procedures and company policies
🌟 Ability to foster positive client interactions and build lasting relationships
Education & Experience Requirements
🎓 High School Diploma or equivalent required
📅 1+ year of related experience preferred (or six months’ experience within GIA in good standing)
