Hyatt Regency Cape Town is on the lookout for an energetic and customer-oriented Cluster Reservations Agent to join our team. As a Reservations Agent, you will play a key role in delivering outstanding service by processing reservations and ensuring that guests have a seamless experience from booking to check-in. Key Responsibilities:

✔ Reservations Management:

  • Process reservations promptly and accurately from various sources including travel agents, hotel departments, and the sales office.

  • Create, modify, and cancel reservations in the system while adhering to Hyatt’s policies and procedures.

✔ Customer Interaction:

  • Communicate reservation details effectively with the front desk to ensure a smooth guest experience.

  • Provide information about hotel facilities, room availability, rates, and packages to prospective guests.

✔ Room Availability & Forecasting:

  • Monitor room availability and assist in the development of forecasts for room revenue and occupancy.

  • Ensure room rates and availability are aligned with hotel strategies and market demand.

✔ Pre-arrival Services:

  • Assist in preparing the arrival list and support preregistration activities.

  • Ensure that guests’ preferences and needs are met before arrival.

✔ Billing & Deposit Management:

  • Handle advance deposits and ensure all reservations are properly coded and guaranteed.

  • Process cancellations and modifications, updating the reservation system promptly.

✔ Health & Safety:

  • Adhere to all health and safety regulations, ensuring that all hotel procedures are followed, including fire and bomb threat protocols.

✔ Customer Engagement:

  • Provide valuable information to guests about local attractions, events, and seasonal programs.

  • Assist in planning clients’ travel arrangements, ensuring their needs are fully met.

Requirements:

✔ Educational Qualification:

  • Minimum of Grade 12 and a Formal Qualification.

  • Previous experience in a hotel-related role, especially with Group Accommodation and Events.

✔ Experience:

  • Reservations experience in the hospitality industry is a must.

  • Proficiency in hotel software and its functionalities.

✔ Communication Skills:

  • Excellent written and verbal communication skills in English.

  • Energetic and friendly personality with a professional attitude.

✔ Customer Focus:

  • Ability to provide high-quality service and maintain a courteous, helpful, and friendly demeanor toward guests and colleagues.

✔ Organizational Skills:

  • Strong attention to detail and ability to manage multiple tasks efficiently.

  • Ability to work in a fast-paced environment while maintaining high service standards.
