🛠️ Key Responsibilities
Daily Operations & Coordination:
- 🗂️ Plan and coordinate daily tasks for the Heating Engineers, Electricians, Plumbers, Apprentices, and other technical staff, ensuring work is allocated effectively.
- 📊 Distribute accurate data and communicate the schedule with stakeholders to ensure the smooth execution of projects.
- 📝 Ensure all records are updated in the appropriate mediums, maintaining timely and accurate documentation.
Stakeholder Communication:
- 📞 Answer and manage calls from Clients and Tenants, addressing inquiries and providing solutions.
- 🔄 Work closely with other Contracts Administrators, Supervisors, and team leaders to ensure the efficient delivery of services.
Administrative Support:
- 🗂️ Provide administrative assistance to ensure the smooth flow of operations and compliance with company policies.
- 📅 Handle multiple tasks simultaneously, managing high volumes of calls and communication effectively.
🎓 Required Qualifications & Experience
- ✅ Proven experience in administrative roles, particularly within the housing, facilities management, or public sector.
- ✅ Proficiency in Microsoft Office and experience using IT systems and databases.
- ✅ Excellent organizational skills with the ability to multitask and meet deadlines.
- ✅ Strong communication skills, with a professional and friendly attitude when dealing with clients, engineers, and tenants.
- ✅ Experience in handling high-volume phone calls and a strong focus on customer service.
