About the Role
Old Mutual, a leading pan-African financial services group, is seeking a proactive and detail-oriented Contracts and Vendor Management Administrator to join their Johannesburg team. This role is central to ensuring efficient administration of contracts and third-party vendors within OM Bank, aligning with compliance standards, internal policies, and operational excellence.

Key Responsibilities
Contract Administration:

Manage the end-to-end administration of all contracts and agreements.

Collaborate with Procurement Officers, Legal teams, and Business Units to finalise contracts.

Maintain a centralised, organised contract repository for easy retrieval and audit readiness.

Monitor contract life cycles and ensure timely renewals or terminations.
-
Facilitate NDA processes to ensure compliance prior to vendor engagement.
Vendor Management:

Conduct supplier due diligence and ensure regulatory compliance (e.g., SARS documentation).

Serve as the main point of contact for vendor queries and problem resolution.

Support the execution of annual vendor reviews and audits to assess compliance and performance.

Load and maintain supplier information accurately on ERP systems (e.g., Oracle).

Oversee the supplier portal and ensure all vendor data is up-to-date and categorised appropriately.
Administrative Support & Governance:

Respond to first-line vendor and internal stakeholder queries.

Track partner governance meetings, maintain minutes, and follow up on action items.

Support third-party risk management projects and provide cross-functional operational assistance.
Continuous Improvement:

Identify and suggest improvements to vendor and contract processes using automation and best practices.

Stay informed of industry trends, regulations, and technology that could enhance the vendor management function.

Assist in training and onboarding new team members.
Qualifications and Experience
Minimum Requirements:
-
Matric (Grade 12)
-
Tertiary qualification in Procurement, Commerce, or Legal (advantageous)

At least 2 years’ experience in contract or vendor administration, procurement, or TPRM (Third Party Risk Management)

Experience working directly with third-party vendors and cross-functional internal teams
Skills and Attributes:

Proactive and deadline-driven with excellent attention to detail

Strong interpersonal skills to navigate stakeholder communications

Experience using ERP systems (e.g., Oracle) is highly beneficial
