Role Purpose:
We are seeking a Customer Engagement Assistant who will ensure excellent customer service while supporting the daily operations of the pharmacy. You will foster positive relationships with customers, address their healthcare needs, and play an integral role in the pharmacy’s success. Your role is pivotal in safeguarding the well-being of every patient and ensuring that compounded medications meet the highest standards of purity, potency, and efficacy.
Key Responsibilities:
Client Interaction:
- 🤝 Customer Assistance: Provide friendly, knowledgeable assistance to customers, addressing inquiries regarding medications, orders, and any concerns or issues they may have.
- 📞 Call Management: Answer calls from clients, assist with inquiries, and transfer to the relevant department if necessary.
- 📧 Email Communication: Respond promptly and professionally to allocated emails, ensuring all client concerns are addressed efficiently.
Problem Resolution:
- 💬 Issue Resolution: Handle customer complaints or issues quickly and effectively, ensuring customer satisfaction. This includes resolving billing discrepancies, order delays, and facilitating communication with pharmacists or assistants to achieve optimal outcomes.
Administrative Responsibilities:
- 📑 Payment Processing: Process, capture, and balance payments received, as well as manage credit requests daily.
- 🧾 Invoice Management: Print and sort invoices, attach labels, and allocate payments as part of daily administrative duties.
- 🗂️ Record Keeping: Ensure that all relevant administrative tasks are performed accurately and promptly.
Training and Education:
- 📚 Continuous Learning: Stay informed about the latest developments, guidelines, and best practices in customer service and engagement through ongoing professional development activities.
Collaboration and Communication:
- 🤝 Team Coordination: Work closely with other departments, including production and dispatch, to ensure coordinated pharmaceutical compounding activities. Ensure that customer satisfaction is always prioritized.
Required Qualifications and Skills:
Qualifications:
- 🎓 Grade 12 or equivalent (NQF Level 4).
- 💼 Previous customer service experience is advantageous.
Skills and Abilities:
- 🗣️ Communication Skills: Excellent verbal and written communication skills for handling inquiries and resolving complaints.
- 💻 Computer Literacy: Proficiency in MS Office Suite and general computer skills.
