🚀 Key Responsibilities:
📅 Executive Support & Calendar Management

Manage complex calendars for GM and DGM.

Anticipate scheduling conflicts and propose seamless solutions.

Organize internal and external engagements.
✈️ Travel & Accommodation Management
-
Coordinate international and local travel, including flights, accommodation, transport, and documentation.
-
Ensure efficient, last-minute change handling.
🎉 Event & Social Engagements
-
Plan and manage formal and social events, including logistics, communications, invitations, and follow-ups.
-
Support annual events such as Year-End Functions, Strategy Workshops, Family Days, etc.
💰 Expense Management
-
Prepare and reconcile expense claims using Concur.
-
Monitor and align spending with company policies.
📄 Presentation & Document Preparation
-
Draft and prepare professional reports, presentations, board packs, agendas, and minutes.
🤝 Stakeholder & Guest Engagement
-
Act as a liaison between GM/DGM and internal teams.
-
Manage internal communications and follow-ups.
-
Coordinate with cross-functional teams and host international guests.
📆 Annual Events Calendar Coordination

Maintain a corporate event calendar aligned with business goals.
📣 Marketing & Communication

Collaborate with the marketing and communications department to increase leadership visibility and support campaigns.
🎓 Qualifications & Skills:
Minimum Requirements:

Formal qualification in Office Administration or Business Administration is advantageous.
Technical & Professional Skills:
-
Proficiency in MS Office Suite, SAP, Outlook, Internet, and Concur.

Strong expertise in travel planning tools and expense management systems.

Experience with event planning and logistics.

High-level communication (written and verbal) and presentation skills.
Organizational & Leadership Abilities:

Excellent multitasking, prioritization, and time management.

Ability to support multiple executives with discretion and professionalism.
