Role Purpose
As the Executive Personal Assistant, you will play a pivotal role in ensuring the efficient operation of the department by providing dedicated administrative support to the Departmental Head and assisting the broader team with key administrative functions. Your contributions will directly support business productivity, employee engagement, and client service delivery.
Minimum Requirements
-
Matric (Grade 12) or equivalent qualification
-
Relevant secretarial or office administration qualification
-
4–8 years’ experience in a similar PA or Executive Assistant role
-
Proven experience supporting senior managers or department heads
-
Office management experience (Essential)
-
Experience in the insurance or financial services sector (Desirable)
-
Exposure to event management and team coordination (Desirable)
Technical Skills & Knowledge
-
Strong proficiency in Microsoft Office Suite
-
Knowledge of business systems (advantageous)

Budget tracking and management
-
Effective communication and interpersonal skills

Document and information management

Minute-taking and presentation preparation
Key Responsibilities
Internal Administration
-
Coordinate and maintain the diary of the Departmental Head
-
Arrange internal and external meetings, workshops, events, and training sessions

Compile and distribute meeting agendas, presentations, and minutes

Manage department travel arrangements within policy and budget
-
Handle office space logistics – desks, aircon, seating, etc.

Maintain well-organized digital filing systems
-
Oversee onboarding processes and facilitate setup for new joiners
-
Capture training records and manage internal communications
Client and Stakeholder Engagement
-
Provide expert support and advice to internal and external stakeholders
-
Foster strong relationships with clients, vendors, and service providers
-
Uphold service level agreements and champion client satisfaction
-
Recommend improvements for enhancing service delivery
