Job Overview

TIA is seeking a highly organized and professional Executive Secretary to support the Chief Financial Officer (CFO) and the CFO Office. This role involves high-level administrative, secretarial, and coordination duties across finance, supply chain management, risk, and compliance functions. The successful candidate will ensure efficient operations, governance compliance, and accurate record-keeping within the CFO Office.


Key Responsibilities

Financial Support

  • Assist with compiling and updating operational and investment budgets
  • Record contracts and invoices on financial systems and maintain registers
  • Load requisitions in line with procurement guidelines
  • Support budget tracking and flag variances
  • Maintain financial, contract, and Fund of Funds registers

Stakeholder Management

  • Maintain professional communication with internal and external stakeholders
  • Ensure all interactions align with TIA values and standards

Internal Processes & Governance

  • Provide administrative support for Fund of Funds governance activities
  • Maintain records of approvals, agreements, and reporting obligations
  • Coordinate submission of reports and approval packs
  • Track deadlines and ensure timely submissions
  • Pre-screen documents for CFO approval (compliance & accuracy)
  • Manage correspondence and ensure proper record-keeping

Executive Support

  • Manage CFOโ€™s diary, meetings, and scheduling
  • Prepare meeting packs, take minutes, and coordinate logistics
  • Organize training sessions, boardrooms, and resources
  • Ensure effective time management of executive schedules
  • Act as the first point of contact for incoming requests

Learning & Development

  • Align with performance goals and KPAs
  • Continuously improve efficiency and effectiveness
  • Utilize departmental systems and tools effectively
  • Promote TIA values and culture

Qualifications

Education

  • Administration/Secretarial Certificate or Diploma
  • 3-year tertiary qualification (advantageous)
  • Exposure to finance, governance, or compliance environments

Experience

  • Minimum 3 yearsโ€™ experience in secretarial/administration roles
  • Experience in finance, public sector, audit, risk, compliance, or SCM environments
  • 5+ yearsโ€™ experience (advantageous)

Skills

  • Strong administrative and organizational skills
  • Excellent communication (verbal and written)
  • Attention to detail and accuracy
  • Knowledge of governance and compliance processes
  • Ability to multitask and meet deadlines
