We are seeking a highly organized and detail-oriented Executive Secretary to provide administrative and secretarial support to the Chief Executive: Marketing (CEM). This crucial role involves managing the CEM’s calendar, coordinating meetings, handling communications, making travel arrangements, and assisting with various administrative duties. Key Responsibilities

As an Executive Secretary, your daily tasks will include, but are not limited to:

📅 Calendar Management

  • Efficiently coordinate and manage the CEM’s schedule, including meetings, appointments, and travel plans.
  • Prioritize and organize the CEM’s daily agenda for optimal time management.

📞 Communication Management

  • Act as the primary point of contact for all internal and external communication on behalf of the CEM.
  • Screen and manage emails, phone calls, and correspondence, redirecting or responding as needed.

📅 Meeting Coordination

  • Organize and arrange meetings, conferences, and events, including preparing agendas, taking minutes, and handling logistics.
  • Ensure that all meeting requirements are met for smooth operations.

✈️ Travel Arrangements

  • Handle all aspects of travel planning for the department, including booking flights, accommodations, and transportation.
  • Organize visas, prepare detailed travel itineraries, and provide necessary documentation.

📝 Administrative Support

  • Assist in preparing reports, presentations, and other required documents.
  • Manage expense reports and reimbursements for the CEM.
  • Maintain a record of IT and office equipment for smooth operation.
  • Process payments for marketing department invoices (excluding advertising accounts) via SAP.

Requirements

We are looking for candidates who meet the following criteria:

🎓 Education & Experience

  • Grade 12 (Matric) required.
  • Secretarial/Office Coordinator Diploma or similar qualification.
  • At least 5 years of experience as a secretary to senior management or executive-level staff.
  • Previous retail experience is an advantage.
  • Experience with both domestic and international travel arrangements.

💻 Skills & Competencies

  • Strong proficiency in PC literacy, including MS Office and Google Suite.
  • Excellent understanding of event coordination.
  • A strong service orientation, dedicated to providing high-quality support.
  • Competencies: Devotion to quality, planning, flexibility, initiative, and the ability to perform under pressure.
