About the Role

We are seeking an experienced Financial Administrative Employee to join our team in Utrecht. This is an exciting and dynamic role where no two days are the same. You will be responsible for handling various administrative tasks related to work orders, invoicing, and system management for the workshop.

The successful candidate will be integral in ensuring smooth operations of our administrative processes, with a focus on improving efficiency and optimizing invoicing procedures. You will work with our XDMS system, collaborate with different departments, and handle all financial aspects related to customer orders and workshop tasks.


Key Responsibilities

πŸ”„ Work Order Management

  • Process and verify work orders in the XDMS system for customer and workshop transactions.
  • Monitor and minimize work-in-progress to ensure streamlined operations and timely deliveries.
  • Ensure accuracy and efficiency in invoicing and approval processes, including purchase invoices.

πŸ’Ό Financial & Administrative Tasks

  • Tire approvals (Conti) management and processing of warranty claims.
  • Convert warranty work into claims and invoicing.
  • Process work orders from specific suppliers in the external system.
  • Complete full processing in Orion Grip software, including customer complaints, workshop occupancy, quotations, and invoicing.

  • Work on improving and optimizing the invoicing process to ensure timely and accurate invoicing.
  • Look for opportunities to streamline administrative operations and increase overall efficiency.
  • Collaborate with the team to identify and implement improvements in the workflow.

🧰 Workshop Support

  • Provide essential administrative support to the workshop, ensuring smooth operations and resolving any issues that arise.
  • Handle customer orders and liaise with clients for order numbers and other inquiries.

What We Expect from You

We are looking for a candidate who is detail-oriented and capable of managing multiple administrative tasks in a fast-paced environment. You should be able to switch between tasks easily and maintain an organized workflow.

πŸŽ“ Qualifications & Experience

  • A completed MBO-4 diploma in finance, administration, or a technical field.
  • At least 2 years of experience in a financial administrative role.
  • System knowledge and the ability to quickly learn and master dealer management systems like XDMS.

πŸ”§ Technical Knowledge (Preferred)

  • Technical knowledge of motor vehicles is an advantage.
  • Previous experience working in a workshop environment is a plus.

  • Flexibility and the ability to work independently with minimal supervision.
