Virgin Active is seeking a dynamic Hazeldean Club Administrator to oversee essential administrative functions, deliver excellent member service, and ensure smooth club operations. Based in Hazeldean, Pretoria, this position offers an exciting opportunity for a motivated professional who thrives in a fast-paced environment.
As the Club Administrator, you will be the backbone of the club’s operational and administrative functions, from auditing and banking to managing payroll and uniform stock. You will also play a key role in developing and leading the administrative team to meet high standards and deliver quality service to our members.
Key Responsibilities:

🗸 Deliver Excellent Member Service:
-
Resolve member queries and requests promptly within 24 hours.

Update member details and process refunds efficiently.
-
Maintain accurate member database and log relevant notes.
-
Capture and process access stats manually when required.

🗸 Auditing & Compliance:
-
Conduct daily, weekly, and monthly audits.
-
Ensure all pre-printed stationery and payments are reconciled and discrepancies are reported to the Club General Manager.

Review and respond to findings from audit reports.

🗸 Banking & Financial Management:
-
Oversee all banking processes as per company policy.
-
Reconcile banking reports and address any discrepancies.
-
Ensure till float counts are accurate and cash losses are reported.

🗸 Contract Management & Payroll Processing:

Check and process membership contracts and code changes.
-
Administer payroll processes including capturing employee documentation and verifying salary data.

Ensure timely and accurate salary deductions and leave updates.

🗸 Order & Uniform Management:

Manage orders for stationery and uniforms, ensuring delivery and accurate stock levels.

Reconcile uniform issues and track remaining allocations.

Issue petty cash and perform weekly reconciliations.

🗸 Effective Communication & Staff Management:
-
Communicate new administrative policies to all departments.

Train staff on administrative and payroll procedures.

Manage and develop the administration team, including discipline and performance.

Maintain staff files and support succession planning.

Required Qualifications and Experience:
-
🗸 Matric/Grade 12 qualification.
-
🗸 Relevant tertiary qualification in Administration or related field.
-
🗸 2-4 years of experience in administration or a similar role, with advanced knowledge of finance and HRMS systems.

🗸 Intermediate proficiency in Microsoft Excel, Word, and PowerPoint.
