Legal Patent Secretary/Administrator – Grow Your Legal Career at Spoor & Fisher!

Spoor & Fisher, a leading intellectual property law firm, is looking for a talented and experienced Legal Patent Secretary/Administrator to join its Centurion office. If you have a background in Patent or Conveyancing administration and thrive in a dynamic legal environment, this is your chance to advance your career with a globally respected firm.

In this permanent position, you will play a vital role in supporting the Patent Agency department, ensuring seamless case management, document preparation, and client interaction under the guidance of the Patent Practice Manager.


Key Responsibilities

As a Legal Patent Secretary/Administrator at Spoor & Fisher, your primary duties will include:

General Secretarial & Administrative Support

  • Handling general secretarial tasks to support patent attorneys and administrators.

  • Preparing quotations and supporting forms for patent and design applications.

  • Managing takeover cases and arranging new instructor and owner numbers.

Portfolio & Document Management

  • Preparing and maintaining portfolio/status reports for clients.

  • Running reminders for important deadlines (TNA, MVA, PAG, PCH, JCR).

  • Generating filing reports and ensuring timely submission of outstanding reports.

  • Checking exception reports for duplicate official numbers and following up on outstanding filing receipts with CIPC.

Billing & Reporting

  • Preparing consolidated monthly, quarterly, and annual billing.

  • Creating account accrual reports for internal financial tracking.

Client & Portal Coordination

  • Managing external client portals and CIPC online submissions.

  • Utilizing WIPO extract and other online legal tools for international filings.

  • Running and updating the patent portals mailbox to ensure efficient communication and tracking.

Backup Support & Special Projects

  • Assisting with PCH and PAG filing of applications.

  • Participating in testing rules, templates, and departmental projects.

  • Monitoring the patent applications mailbox to ensure no correspondence is missed.


Minimum Requirements & Core Competencies

We’re looking for a highly organized, tech-savvy professional who can work independently while collaborating effectively with colleagues.

✔️ Minimum education: Grade 12 / National Certificate
✔️ Experience in Patent or Conveyancing administration (essential)
✔️ Proficiency in MS Word, Inproweb, and PDF Exchange Viewer
✔️ Ability to navigate and manage client web-based portals, CIPC online, and WIPO extract
✔️ Excellent attention to detail and a strong sense of urgency to meet critical deadlines
✔️ Effective multi-tasking skills and a proactive, solutions-driven mindset
✔️ Team player with a customer-centric approach
