Lexmark, a global leader in imaging solutions, is seeking an organized and proactive Office Administrator to join their dynamic team in Johannesburg. This dual-role position combines office management with client administration coordination, ensuring smooth office operations and efficient financial handling of toner order processing and invoicing.

Key Responsibilities
Office Management & Administration:

  • Oversee day-to-day office operations, ensuring a clean, organized, and safe workspace.

  • Liaise with the building manager to handle maintenance, security, and operational concerns promptly.

  • Ensure compliance with health and safety regulations to maintain a secure working environment.

  • Manage and track office-related purchase orders and validate vendor invoices for accuracy.

  • Monitor office supply inventory and coordinate restocking as needed.

  • Supervise service vendors and manage both regular maintenance and emergency repairs.

  • Develop and implement office policies to improve operational efficiency and safety standards.

Client Administrator & Financial Coordination:

  • Manage monthly toner orders (Proof of Delivery – PODs) before billing approval.

  • Extract PODs from designated portals, coordinate with the Laser Logistics Team to resolve any missing documents.

  • Edit and resize POD files for distribution across various divisions of the client.

  • Handle manual purchase orders for toner invoices and prepare financial statements.

  • Collaborate with the Client’s finance department to ensure accurate invoicing, POD management, and timely payments.

  • Conduct monthly invoicing for the Laser Logistics Team to address any missing toner tickets.

Qualifications and Skills

  • Experience in office management or administrative roles, preferably in logistics, finance, or retail.

  • Strong organizational and multitasking skills, with the ability to prioritize effectively.

  • Excellent communication and interpersonal skills for dealing with internal teams and external vendors.

  • Proficiency in Microsoft Office Suite and familiarity with financial management software.

  • Knowledge of health and safety regulations and best practices.

  • Ability to handle confidential information and work independently.

  • Willingness to work after hours for emergency or maintenance situations.

  • Advanced working proficiency in English.
