Lexmark, a global leader in imaging solutions, is seeking an organized and proactive Office Administrator to join their dynamic team in Johannesburg. This dual-role position combines office management with client administration coordination, ensuring smooth office operations and efficient financial handling of toner order processing and invoicing.
Key Responsibilities
✔ Office Management & Administration:

Oversee day-to-day office operations, ensuring a clean, organized, and safe workspace.

Liaise with the building manager to handle maintenance, security, and operational concerns promptly.

Ensure compliance with health and safety regulations to maintain a secure working environment.

Manage and track office-related purchase orders and validate vendor invoices for accuracy.
-
Monitor office supply inventory and coordinate restocking as needed.

Supervise service vendors and manage both regular maintenance and emergency repairs.

Develop and implement office policies to improve operational efficiency and safety standards.
✔ Client Administrator & Financial Coordination:
-
Manage monthly toner orders (Proof of Delivery – PODs) before billing approval.

Extract PODs from designated portals, coordinate with the Laser Logistics Team to resolve any missing documents.

Edit and resize POD files for distribution across various divisions of the client.
-
Handle manual purchase orders for toner invoices and prepare financial statements.

Collaborate with the Client’s finance department to ensure accurate invoicing, POD management, and timely payments.

Conduct monthly invoicing for the Laser Logistics Team to address any missing toner tickets.
Qualifications and Skills

Experience in office management or administrative roles, preferably in logistics, finance, or retail.

Strong organizational and multitasking skills, with the ability to prioritize effectively.

Excellent communication and interpersonal skills for dealing with internal teams and external vendors.

Proficiency in Microsoft Office Suite and familiarity with financial management software.

Knowledge of health and safety regulations and best practices.

Ability to handle confidential information and work independently.

Willingness to work after hours for emergency or maintenance situations.

Advanced working proficiency in English.
