Are you a highly organized and driven administrative professional looking to grow your career? Schauenburg Systems, a leader in safety and communication systems for the mining and industrial sectors, is looking for a detail-oriented Office Administrator to join their Polokwane team.

This role supports the technical division through a variety of administrative tasks, including documentation, stock control, customer liaison, and coordination with technicians and coordinators. If you thrive in a structured environment and enjoy managing processes, this opportunity is for you.


🔧 Key Responsibilities

📂 Administrative Duties

  • Act as the regional contact point between technical coordinators, technicians, and internal departments.

  • Perform daily admin functions: filing, typing, data capturing, HR documentation, travel claims, and record management.

  • Prepare and collate data for reports (monthly, quarterly, annual).

  • Manage travel and accommodation bookings for technical staff.

  • Maintain accurate tracking of PODs and age analysis of debtors.

  • Create customer quotes and verify orders before submitting for invoicing.

  • Follow up with mines on unpaid strips, quotes, and contract orders.

  • Update lease and maintenance contract lists and liaise with the accounts department for invoicing.

  • Input requisitions and supplier orders onto Syspro, ensuring all workflows and supporting documents are attached.

  • Maintain GP totals and report updates monthly.

  • File and send purchase orders to Head Office.

📦 Stores Duties

  • Oversee daily store operations: stock level monitoring, discrepancy resolution, and stock ordering.

  • Conduct regular stock takes and maintain cleanliness in the store area.


✅ Minimum Requirements

  • Matric (Grade 12)

  • Minimum 3 years of experience in an administrative role

  • Computer literacy – MS Office suite (Excel, Word, Outlook)

  • Syspro knowledge is advantageous

  • Understanding of store and stock control operations

  • Own vehicle is required
