🚀 Position Summary:
Rand Water is seeking a highly organized and proactive Office Assistant to provide essential administrative and secretarial support to the Panfontein operations site. This is a permanent opportunity to join a leading water utility provider, contributing to streamlined operations and the efficient management of site logistics and staff-related processes.
The successful candidate will ensure smooth office operations by managing documentation, vehicle logistics, financial submissions, and office systems. If you’re detail-oriented, tech-savvy, and thrive in a structured environment—this opportunity is for you.
✅ Key Responsibilities:

Handle all staff-related administration at the site including trip sheets, vehicle bookings, services, and loan vehicle coordination.

Provide administrative and secretarial support to site management to ensure optimal use of resources and time.

Manage schedules, organize meetings, book travel, and handle general correspondence.
-
Maintain effective office systems, order supplies, and ensure a clean, organized workspace.
-
Generate and track work orders using Maximo; maintain accurate spreadsheets and timelines.
-
Create SAP reservations and requisitions for site-related activities.
-
Submit staff timesheets, travel claims, and various administrative forms.
-
Ensure all incoming invoices are verified, signed, and submitted for payment.

Assist with front-desk reception duties and maintain noticeboards.
🎓 Minimum Requirements:

Educational Qualification:
-
Essential: Grade 12 with a National Certificate in Office Administration.
-
Preferred: National Diploma in Office Administration.

Experience:
-
At least 2 years in administration or secretarial roles.

Systems & Software Proficiency:
-
Essential: Microsoft Office Suite & SAP (2 years minimum).

Required: Maximo competency.
-
Accurate typing and report writing capabilities.

Other Requirements:

Code 8 Driver’s License is essential.

Excellent telephone etiquette and interpersonal skills.
