JOB OVERVIEW

The Operations Coordinator – Team Lead supports the CEO by coordinating daily operations, ensuring accountability, and supervising key operational teams (Billing, Admin, Customer Service). The role combines executive support, operational oversight, and team leadership to ensure smooth execution, operational discipline, and high service quality.


KEY RESPONSIBILITIES

CEO Support & Accountability

  • Provide primary operational support to the CEO

  • Track follow-ups, deadlines, and commitments across teams

  • Prepare summaries, briefs, and updates for the CEO

  • Filter and escalate only critical operational issues

Operations Coordination & Oversight

  • Coordinate daily operations across Billing, Admin, and Customer Service

  • Monitor workloads, bottlenecks, and operational risks

  • Enforce adherence to SOPs, systems, and operational standards

  • Drive consistency and discipline across teams

Team Leadership & Management

  • Directly manage Billing Team Lead, Admin, and Customer Service staff

  • Conduct regular check-ins, operational reviews, and performance monitoring

  • Identify gaps, escalate concerns, and support training and onboarding

  • Maintain clear role definitions and accountability

Service Quality & Compliance

  • Perform service quality checks across customer-facing functions

  • Monitor billing accuracy, invoicing timelines, and customer queries

  • Ensure compliance with internal policies and procedures

  • Recommend process improvements for recurring service issues

Reporting & Continuous Improvement

  • Provide operational summaries and KPI reports to the CEO

  • Track service delivery, billing accuracy, and admin efficiency metrics

  • Identify inefficiencies and propose practical workflow solutions


QUALIFICATIONS

Education

  • Matric / Grade 12 (minimum)

  • Relevant tertiary qualification in Operations, Management, or related fields is advantageous

Experience

  • 1–3 years in operations, service delivery, or executive support

  • Experience managing or coordinating teams preferred

  • Familiarity with Billing, Admin, or Customer Service operations

  • Strong organisational and coordination skills

  • Effective written and verbal communication

  • Ability to manage multiple priorities under pressure
