Job Overview
The Paralegal role provides comprehensive secretarial, legal, and administrative support to an in-house team of legal advisors and professionals within Sanlam Alternative Investments. This position requires strong legal administration expertise, attention to detail, and the ability to manage complex legal documentation while maintaining confidentiality and compliance with legal standards.
Key Responsibilities
Word Processing and Filing
• Type, format, check, and file complex legal documentation and correspondence
• Apply and customise legal templates in accordance with house standards
• Redline agreements and prepare execution-ready document versions
• Prepare organograms and PowerPoint presentations
• Identify, query, and rectify documentation errors or inconsistencies
• Scan, store, and retrieve documents using established naming conventions
• Maintain accurate electronic and physical filing systems
Legal Administration
• Draft and review basic legal agreements and routine correspondence
• Ensure consistency in legal terminology and cross-referencing
• Assist with matter and client documentation preparation and filing
• Follow up on outstanding documentation with clients and third parties
• Prepare transaction bibles and archive closed matters
• Monitor fulfilment of conditions precedent (CPs)
Invoicing and Collections
• Gather and provide FICA documentation
• Assist finance teams with account allocations
• Process authorised expenses
General Office Support
• Answer and screen telephone calls and manage messages
• Schedule and manage diaries and meetings
• Take meeting minutes when required
• Arrange conferencing facilities, catering, and logistics
• Coordinate travel, accommodation, and event requirements
• Order and distribute stationery
Team Collaboration
• Support colleagues and contribute to team efficiency
• Maintain effective working relationships with internal departments including IT, Finance, HR, and Marketing
Qualifications
Education and Experience
• Grade 12 or Diploma
• 3 to 5 years’ relevant paralegal or legal administration experience
Skills and Knowledge
• Strong secretarial and administrative support capability
• Sound knowledge of legal terminology and legal documentation standards
• Advanced computer literacy, including MS Word, Excel, and PowerPoint
• Proficiency in document management and filing systems
• Knowledge of FICA requirements
• Understanding of regulatory and statutory environments
• Ability to prioritise work and perform under pressure
• High attention to detail with strong organisational skills
• Excellent written and verbal communication
• Strong understanding of confidentiality and legal ethics
