Job Description:

We are seeking a Pay & Bill Manager to manage the payroll and billing operations for both staff and contractors. This role is critical to the business’s success and will report directly into the Finance team. The ideal candidate will be confident, detail-oriented, and thrive in a fast-paced, deadline-driven environment. Key Responsibilities:

  • Payroll Management: Oversee the entire payroll lifecycle for both staff and contractors, including data gathering, processing, distribution, and reporting.

  • International Payroll: Manage UK and US payrolls, including PAYE, Umbrella, and Limited Company payroll structures.

  • Pension Contributions: Take responsibility for timely uploads, reconciliations, and reporting of pension contributions.

  • Collaboration: Work closely with Finance and HR teams to streamline payroll workflows and ensure compliance with global payroll legislation.

  • Documentation and Reporting: Maintain accurate payroll documentation and process notes, ensuring smooth operations and leave coverage.

  • Query Management: Respond swiftly to payroll queries and resolve discrepancies professionally and efficiently.

  • Billing Management: Oversee billing processes and actively chase outstanding purchase orders to ensure a stable cash flow.

  • Process Improvements: Lead efforts to improve payroll and billing processes, with a focus on automation where possible.

  • Team Support: Provide support to the payroll administrator and contribute to broader finance team initiatives and audits.

Requirements:

  • Experience: 3–5 years of experience in a senior-level payroll or pay & bill role, preferably in a recruitment or contractor-focused business.

  • Payroll Knowledge: Hands-on experience with UK and international payrolls, including PAYE, Limited Co, and Umbrella structures.

  • Systems Knowledge: Experience with systems like TSP (Timesheet Portal), Xero, or Access Pay & Bill is advantageous.

  • Compliance: Strong understanding of payroll compliance, employment tax, and regulatory requirements.

  • Communication: Exceptional organisational and communication skills with the ability to engage with senior stakeholders.
