Are you an experienced Personal Assistant with excellent administrative and organizational skills? Barloworld Equipment is looking for a Personal Assistant Global Grade 08 to join their team in Middelburg. As a Personal Assistant, you will provide comprehensive support to the team and executives, ensuring smooth day-to-day operations and effective communication. This role requires someone who is proactive, organized, and able to handle multiple tasks simultaneously.

Key Responsibilities

🔹 Full Administrative Support – Manage both personal and professional administrative duties, ensuring all tasks are completed efficiently.
🔹 Diary Management – Organize, manage, and maintain schedules, ensuring the efficient coordination of meetings, conferences, and seminars for the department.
🔹 Travel and Accommodation Coordination – Efficiently manage travel arrangements, including flights, accommodation, and itineraries.
🔹 Report Coordination – Consolidate and coordinate monthly reports for the department and other relevant stakeholders.
🔹 Call Screening & Queries Routing – Handle incoming calls and route queries to the appropriate individuals.
🔹 IT Customer Relationship Management – Support IT communication and handle any queries related to customer relationships.
🔹 Support Executive Leadership – Follow up with direct reports to ensure operational matters are addressed promptly.
🔹 Meeting Coordination – Assist in managing and coordinating various management meetings, ensuring smooth operations.
🔹 Professional Office Environment – Maintain a professional office image and ensure a well-organized workspace.
🔹 Governance and Filing – Support office IT governance and electronic filing of all documentation.
🔹 Stakeholder Communication – Facilitate communication with internal and external contacts, ensuring clarity and professionalism.

Qualifications & Experience

🔹 Educational Requirements – Certificate or diploma in Office Management, Secretarial duties, or a related field.
🔹 Experience – At least 6-8 years of experience as a secretary or personal assistant in a corporate environment.
🔹 IT Proficiency – Excellent MS Office skills (Word, PowerPoint, Excel) and strong IT skills.
🔹 Communication Skills – Outstanding written and verbal communication skills with a keen attention to detail.
🔹 Business Acumen – Good understanding of business operations and financial processes.
🔹 Personality Traits – Personable, flexible, and cheerful with a strong customer service orientation.
🔹 Discretion and Confidentiality – High ethical standards with the ability to manage sensitive information discreetly.
🔹 Other Skills – Strong planning, organizing, and coordination skills, with the ability to prioritize tasks and handle pressure.

Additional Requirements

🔹 Driver’s License – A clean driver’s license is required for this position.
🔹 Flexible Availability – Willingness to handle issues outside of normal contracted hours when necessary.
