About the Role

Thekwini TVET College invites qualified internal candidates to apply for the role of Principal’s Personal Assistant (SL7 X1) on a 4-month contract basis. This vital position is based at the Central Office and offers the opportunity to provide essential administrative support to the Principal and Senior Management. If you have experience in office management, possess strong organizational skills, and are detail-oriented, this could be the perfect role for you!

As the Principal’s Personal Assistant, you will play a key role in ensuring the efficient operation of the College’s leadership team. This position involves various tasks including providing secretarial support, managing communications, handling confidential information, and assisting with the Principal’s administrative needs.


Key Responsibilities

🗂️ Administrative Support

  • Provide secretarial and receptionist support to the Principal, managing schedules and communication effectively.
  • Organize and coordinate meetings, including booking venues and preparing agendas.
  • Assist with budget management for the Principal’s office, keeping track of expenses and administrative needs.
  • Prepare reports and assist in the preparation of official documents for the Principal.

📅 Organizational Support

  • Coordinate logistics for meetings, conferences, and other important events for the Principal.
  • Handle the confidential documentation related to the Principal’s office and ensure proper filing and record-keeping.
  • Support the Principal with day-to-day administrative tasks, including drafting and reviewing correspondence.

💻 Skills and Office Management

  • Assist with maintaining a smooth workflow within the office, ensuring all tasks are completed in a timely and efficient manner.
  • Be prepared to work after normal working hours when required to meet deadlines or assist with urgent matters.

📜 Compliance & Documentation

  • Ensure the application of relevant Public Service and Departmental prescripts and guidelines are understood and adhered to.
  • Provide administrative support for official communications and correspondence.

What We Are Looking For

🎓 Qualifications & Experience

  • Matric certificate (or equivalent) is required.
  • A recognized REQV13 qualification in Public Management, Office Management, Business Management, or a related field.
  • 3-5 years of experience in a clerical/administrative environment.
  • Proven track record of providing support services to senior management in a professional setting.

📝 Skills & Competencies

  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in computer literacy, particularly with Microsoft Office and other office tools.
  • Ability to work under pressure and make decisions with sound judgment.
  • High levels of discretion and the ability to maintain confidentiality.
  • Own transport for commuting is essential.
