📌 Role Overview
The Receptionist / Office Co-ordinator ensures that the Spartan office runs smoothly while delivering a professional and welcoming front-line experience. Reporting to the Human Resources Manager, this role combines administrative excellence, customer service, and office operations management.
You will serve as the first point of contact for staff, visitors, and suppliers—while also coordinating office logistics, workplace resources, and maintenance activities.
This is a highly visible role suitable for someone who thrives in a structured, fast-paced engineering environment.
🛠️ Key Responsibilities
✨ Reception & Front Desk Management

Welcome and assist visitors professionally.

Manage the switchboard and direct calls efficiently.

Maintain visitor logs, security access, and sign-in protocols.

Oversee courier collections, deliveries, and distribution.
✨ Office Administration

Keep the office clean, organised, and fully functional.

Maintain stock of stationery, consumables, and operational supplies.

Manage meeting room bookings and ensure spaces are prepared.

Coordinate office repairs such as air conditioning, plumbing, and facilities requests.
✨ Vendor & Service Coordination

Liaise with cleaning providers, security teams, and maintenance contractors.

Obtain quotes for supplies and office improvements.

Ensure service-level agreements and contracts are monitored and upheld.
✨ Business Support

Assist with travel arrangements, staff events, internal meetings, and training set-ups.

Provide administrative support across departments.

Support HR with new employee onboarding, including access cards and workspace preparation.

Handle filing, scanning, printing, and document control tasks.
✨ Health, Safety & Compliance

Maintain first aid supplies and safety equipment.

Ensure visitor management aligns with safety standards.

Report facility risks, hazards, and maintenance issues promptly.
🎓 Qualifications & Experience
Minimum Requirements

Grade 12 / Matric
-
1–2 years’ experience in reception, office administration, or customer service
Preferred
-
Certificate/Diploma in Office Administration or Business Administration

Experience operating a switchboard
-
Experience in facility coordination and contractor liaison
