π Job Overview
The Receptionist role at Trafigura is responsible for delivering professional front-of-house, concierge, and administrative support to ensure smooth daily office operations. This position serves as the first point of contact for visitors, clients, and staff while also providing executive administrative assistance and supporting meeting, travel, and facilities coordination.
π Key Responsibilities

Manage switchboard operations, including answering, screening, and directing calls professionally

Record and relay messages accurately and timeously

Coordinate and manage boardroom bookings, calendars, and meeting logistics
-
Set up meeting rooms according to requirements, including refreshments and equipment
-
Schedule and manage video conferences using internal systems
-
Greet visitors and manage guest relations with a professional and customer-focused approach
-
Maintain a clean, organised, and welcoming reception area
-
Control access procedures and adhere to security protocols
-
Receive, sort, and distribute incoming and outgoing mail and courier items
-
Liaise with courier companies and service providers
-
Provide executive administrative support including diary management, travel arrangements, visas, LOIs, LOEs, and correspondence

Assist with planning meetings, events, and conferences

Support report preparation, printing, and binding for meetings
-
Monitor daily visitor schedules and special requirements
-
Anticipate client needs and provide assistance with logistics and amenities
-
Report maintenance issues, client feedback, and unresolved concerns to relevant teams

Ensure meeting rooms comply with health, safety, and quality standards

Conduct daily inspections of meeting rooms, equipment, and facilities
π Qualifications
Education

Matric (Grade 12) certificate
Experience
-
Proven experience as a Receptionist or Concierge
-
Experience in hospitality or corporate front-office environments
Skills

Proficiency in Microsoft Office Suite

Excellent communication and interpersonal skills

Strong organisational and time-management abilities

Customer-focused and professional attitude

Ability to work independently and unsupervised
