Position Overview
Tsebo Facilities Solutions is currently seeking a Receptionist to join our team in Cape Town. This role involves providing exceptional reception services, managing visitor interactions, and ensuring smooth operations at the workplace reception. The ideal candidate will be friendly, professional, and have excellent organizational skills to manage various reception-related tasks efficiently.
Key Responsibilities
Operational Delivery
- ✔ Visitor & Client Management: Welcome visitors and clients in a friendly and professional manner. Notify the relevant individuals of visitor arrivals promptly.
- ✔ Meeting Room Management: Ensure meeting rooms are set up according to client requirements, check and maintain the equipment, and keep the spaces tidy.
- ✔ Client Assistance: Offer assistance with tasks like confirming travel arrangements, making restaurant reservations, and addressing specific client needs.
- ✔ Facilities Reporting: Report maintenance issues to the TFS call center and ensure the building meets health and safety standards.
- ✔ Room Maintenance: Conduct daily inspections of meeting rooms, ensuring cleanliness, organization, and that all equipment is functional.
- ✔ Administrative Support: Ensure accurate and timely bookings for meetings, maintain records, and prepare weekly/monthly reports for submission to your manager.
Customer Focus
- ✔ Client Interaction: Provide timely responses to client inquiries and requests, offering professional advice when needed.
- ✔ Customer Satisfaction: Conduct client satisfaction surveys and follow up on feedback to ensure high-quality service.
- ✔ Problem Resolution: Handle and resolve customer queries or escalate when necessary, ensuring a high level of service delivery.
Reporting & Documentation
- ✔ Record-Keeping: Maintain and update all relevant records, preparing stats and reports for management as required.
- ✔ Performance Reporting: Prepare and submit weekly/monthly reports within set deadlines to your manager.

- ✔ Sustainability & Ethics: Promote Tsebo’s image and adhere to corporate values, policies, and SHEQ (Safety, Health, Environmental, and Quality) management systems.
Skills & Competencies
- ✔ Microsoft Office Suite: Proficient in MS Word, Excel, PowerPoint, and Outlook.
- ✔ Facilities Management Knowledge: Understanding of equipment, materials, and suppliers used in facilities management.
- ✔ Customer Service Skills: Proven experience in providing excellent customer service, with a client-focused attitude.
- ✔ Communication: Strong communication skills, both verbal and written, with proficiency in English. Knowledge of additional languages is a plus.
- ✔ Organizational Skills: Excellent time-management and organizational skills to handle multiple tasks effectively.
- ✔ Professional Attitude: A friendly, outgoing personality with a customer-centric approach.
Qualifications & Experience
- ✔ Education: Grade 12 (non-negotiable).
- ✔ Experience: Minimum 3 years’ experience as a Receptionist in a hospitality or customer service environment.
- ✔ Technical Skills: Proficiency in computer literacy and office productivity software.
