We are seeking a highly organised, detail-driven and service-focused Comms Centre/Reservations Agent with strong hotel administration experience. 🧩 Minimum Requirements

🎓 Qualifications

  • Matric / Grade 12 (essential)

💼 Experience

  • 2–3 years’ experience in a hotel front office or administrative role

  • Strong working knowledge of Opera PMS (highly advantageous)

  • Proficiency in MS Office

🛠️ Skills & Competencies

  • Excellent verbal and written communication

  • Strong organisational and administrative ability

  • Accurate filing, record keeping, and reporting

  • Ability to remain calm under pressure

  • Exceptional attention to detail

  • Professional grooming and polished presentation

🎯 Key Responsibilities

🗂️ Front Office & Administrative Support

  • Support the Front Office team with daily admin tasks

  • Prepare arrival reports, VIP notes, traces, and special requests

  • Maintain accurate guest profiles and booking updates in Opera PMS

  • Assist with preparing key packs, documents, and room assignments

✉️ Guest Communication & Follow-Ups

  • Respond to guest queries via email and phone professionally

  • Track guest requests, complaints, and communication logs

  • Ensure prompt follow-up on all pending items

🛎️ Reservations Support

  • Assist with overflow reservation enquiries, booking amendments, and confirmations

  • Update booking details accurately in the system

💰 Finance & Documentation

  • Assist with cash-ups, invoice checks, and financial documentation

  • Ensure Front Office logs and filing systems are always up-to-date

🤝 Department Coordination

  • Liaise with Housekeeping, F&B, Finance, and Maintenance

  • Provide clear daily handover reports to the next shift

  • Maintain discretion when handling confidential guest information
