๐Ÿ“ Key Responsibilities

โœ” Mail & Communication Management

  • Prioritize and assess incoming physical mail and emails. Ensure the General Managers receive necessary communications promptly.

โœ” Document Preparation & Report Generation

  • Support General Managers by compiling reports, presentations, and documents for meetings and conferences. Organize data and format it professionally.

โœ” Calendar Management

  • Take charge of the General Managersโ€™ calendars, scheduling meetings, appointments, and conferences with appropriate preparation time.

โœ” Travel Arrangements

  • Handle all travel logistics including booking flights, accommodations, and transportation. Prepare detailed itineraries to ensure efficient business travel.

โœ” Meeting & Event Coordination

  • Organize documents, agendas, and materials for meetings, ensuring smooth operations. Arrange catering, venue bookings, and logistics for effective meetings.

โœ” Visitor & Call Management

  • Welcome visitors in a professional and friendly manner, directing them to the appropriate meeting rooms. Answer and transfer calls accurately.

โœ” Filing & Documentation

  • Maintain organized filing systems for both paper and electronic documents, ensuring easy access and retrieval.

โœ” Inventory & Office Supplies Management

  • Monitor and manage office supplies, ensuring the availability of essential materials such as stationery and printing resources.

โœ” Confidentiality

  • Handle sensitive information with the utmost discretion and adhere to company protocols regarding confidential documentation.

๐ŸŒŸ What You Need to Succeed

โœ” Grade 12 and a Secretarial Certificate or related qualification.
โœ” At least 3 years of relevant secretarial experience in an administrative or executive assistant role.
โœ” Strong proficiency with office software, including word processing, spreadsheets, and database management.
โœ” Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively.
โœ” Excellent communication skills, both verbal and written, with a professional and friendly attitude.
โœ” Strong interpersonal skills and the ability to work effectively with internal and external stakeholders.
