๐ Key Responsibilities
โ Mail & Communication Management
- Prioritize and assess incoming physical mail and emails. Ensure the General Managers receive necessary communications promptly.
โ Document Preparation & Report Generation
- Support General Managers by compiling reports, presentations, and documents for meetings and conferences. Organize data and format it professionally.
โ Calendar Management
- Take charge of the General Managersโ calendars, scheduling meetings, appointments, and conferences with appropriate preparation time.
โ Travel Arrangements
- Handle all travel logistics including booking flights, accommodations, and transportation. Prepare detailed itineraries to ensure efficient business travel.
โ Meeting & Event Coordination
- Organize documents, agendas, and materials for meetings, ensuring smooth operations. Arrange catering, venue bookings, and logistics for effective meetings.
โ Visitor & Call Management
- Welcome visitors in a professional and friendly manner, directing them to the appropriate meeting rooms. Answer and transfer calls accurately.
โ Filing & Documentation
- Maintain organized filing systems for both paper and electronic documents, ensuring easy access and retrieval.
โ Inventory & Office Supplies Management
- Monitor and manage office supplies, ensuring the availability of essential materials such as stationery and printing resources.
โ Confidentiality
- Handle sensitive information with the utmost discretion and adhere to company protocols regarding confidential documentation.
๐ What You Need to Succeed
โ Grade 12 and a Secretarial Certificate or related qualification.
โ At least 3 years of relevant secretarial experience in an administrative or executive assistant role.
โ Strong proficiency with office software, including word processing, spreadsheets, and database management.
โ Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively.
โ Excellent communication skills, both verbal and written, with a professional and friendly attitude.
โ Strong interpersonal skills and the ability to work effectively with internal and external stakeholders.
