Position Overview 🔧

The Service Administrator will be responsible for efficiently handling all administrative tasks related to the workshop process. This includes managing warranty and maintenance claims, processing job cards, and overseeing administrative procedures within the service department. Your attention to detail and organizational skills will ensure smooth operations and high-quality service delivery.


Key Responsibilities 📝

Warranty & Maintenance Administration 🔄:

  • Ensure that warranty and maintenance claims are submitted on time and in accordance with company policies.
  • Maintain zero rejection rates for claims and ensure the disposal of parts aligns with directives.
  • Accurately manage documentation related to job cards, including photos, defect reports, and invoices.
  • Ensure that all sublet invoices are included in job cards and forwarded to finance for payment.

Job Card Processing & Management 💼:

  • Open and process job cards for repairs, maintenance, and servicing.
  • Record all relevant vehicle information on job cards, including registration numbers, chassis numbers, and kilometre readings.
  • Ensure job cards are allocated to the correct account, whether for warranty, maintenance contracts, or customer accounts.
  • Ensure job cards are signed by the driver or relevant person.

Outwork/Sublet Orders 📑:

  • Raise and process sublet orders for external suppliers.
  • Ensure that suppliers submit quotations for outwork and that orders are properly documented.
  • Attach all relevant invoices to the job card for record-keeping and payment processing.

Job Card Closing & Work-in-Progress 🏁:

  • Maintain daily WIP (work-in-progress) controls and collaborate with team leaders to ensure continuous flow of processes.
  • Ensure job cards are accurately completed with all relevant details, including work carried out, time logs, and cause of failure.
  • Ensure job cards are signed off by relevant personnel before closure.

Key Qualifications & Experience 🎓

  • Matric/N3 or equivalent qualification.
  • Computer Skills and familiarity with SAP/GDS Fusion is essential.
  • Strong administrative background with attention to detail and the ability to manage multiple tasks simultaneously.
  • Previous experience in service administration, preferably within the automotive or transport industry.
