Key Responsibilities:

  • Oversee all administrative functions for the Facilities Management Team across three major parks: Plumbago, Solar City, and Riverhorse Valley.

  • Manage contracts, SLAs, compliance certificates, and budgets ensuring all are up to date and in line with regulations.

  • Control purchases, rebilling, invoicing, and P&Ls, with accurate financial reporting and KPI tracking.

  • Liaise with vendors, contractors, and landlords to ensure smooth operations and adherence to standards.

  • Supervise and enhance the Facilities Management System (On Key Plus)—including asset management and preventative maintenance scheduling.

  • Ensure maintenance schedules are followed and reported on efficiently.

  • Handle all documentation, reporting, and filing, ensuring a high standard of record keeping.


Qualifications & Requirements:

Preferred Qualifications:

  • Diploma/Degree in:

    • Financial Management

    • Facilities Management

    • Contract/Administrative Management

Experience:

  • Minimum 3 years in administration (Facilities/Contract Management highly advantageous).

  • At least 2 years in financial & commercial management, including P&L oversight and budget adherence.

  • Strong background in vendor and people management, conflict resolution, and team leadership.

  • Proven track record in managing contracts, SLAs, compliance, and reporting.

  • Prior experience in a facilities management environment or logistics setting is highly desirable.


Skills & Competencies:

  • Advanced computer skills: MS Word, Excel, PowerPoint & Outlook.

  • Strong organizational, planning, and coordination skills.

  • Excellent communication and conflict management abilities.

  • Sound understanding of property standards, SANS, SHEQ, and QMS.

  • Ability to work independently and meet deadlines with precision.

  • High attention to detail, reliable, and deadline-driven.
