About the Role

As a Virtual Executive Assistant, you will be responsible for handling communications, organizing documents, and ensuring the smooth day-to-day functioning of the business. You will play a key role in maintaining efficiency and helping the business run smoothly by taking on a wide range of administrative tasks.
Key Responsibilities
π§ Communication Management
- Respond to emails and WhatsApp messages promptly, ensuring all inquiries are addressed efficiently.
- Coordinate with clients to confirm bookings, deposits, and event details.
- Communicate with suppliers and other business contacts to track orders and follow up on any outstanding issues.
π Document Management & Updates
- Prepare and update documents using Google Docs and Google Sheets for internal and client-facing purposes.
- Create event proposals and modify menus based on client requests and event needs.
- Organize and maintain catering equipment lists for upcoming events, ensuring all items are accounted for and ready when needed.
π Event Coordination
- Work closely with the business owner to execute instructions efficiently and in a timely manner.
- Track orders and ensure follow-ups are completed as per the timeline.
- Help organize and prepare for events, ensuring all aspects are handled, from catering needs to client communications.
π§ Problem-Solving & Task Management
- Proactively manage and prioritize multiple tasks, making sure deadlines are met.
- Anticipate business needs and take initiative to resolve issues before they arise.
- Provide consistent updates on task progress and take action to resolve any bottlenecks.

- Proficient in Google Docs, Google Sheets, WhatsApp, and email communications.
