As a Virtual Executive Team Leader, you will be responsible for managing key administrative functions, leading teams, and providing high-level support to senior executives. Your role will be integral to driving efficiency, quality, and team success across various projects.


What Youโ€™ll Be Doing (a.k.a. Your Superpowers in Action)

  • ๐Ÿ—“๏ธ Managing Schedules: Oversee executive calendars and coordinate meetings. Youโ€™ll make sure everything runs on time, every time.

  • โœˆ๏ธ Travel Coordinator: Handle international and local travel logistics, including booking flights and securing visas for executives.

  • ๐Ÿ“ž Communication Gatekeeper: Act as the main point of contact for executive calls, emails, and internal communication.

  • ๐Ÿ“ˆ Team Leadership: Lead a team of executive assistants, ensuring efficient operations and top-notch support across the business.

  • ๐Ÿ—‚๏ธ Documentation Expert: Maintain and organize all business records, ensuring easy access and confidentiality.

  • ๐Ÿค Stakeholder Liaison: Serve as the go-to person for internal teams, clients, and external stakeholders.

  • ๐ŸŽฏ Performance & Development: Participate in performance reviews, goal setting, and team development activities to ensure continuous growth and improvement.


Key Responsibilities

  • Absence and Resource Cover: Manage absence requests and resource planning to ensure smooth operations.

  • Recruitment & Onboarding: Participate in recruitment, interviews, and the successful integration of new hires.

  • Training & Development: Stay ahead of technological advances, implementing training to enhance team skills.

  • Performance Reviews: Support the team in preparing for performance reviews and ensure smooth execution of feedback processes.

  • Ad-Hoc Support: Provide any other necessary administrative and operational support as needed.


What Weโ€™re Looking For

  • ๐ŸŽ“ Qualification: Relevant qualification or training in office administration.

  • ๐Ÿง‘โ€๐Ÿ’ผ Experience: A minimum of 5 years in an executive assistant or similar senior administrative role.

  • ๐Ÿš— Driverโ€™s License: Must have a valid code B driver’s license.

  • ๐Ÿ’ป Proficiency in MS Office: Expertise in Word, Excel, and PowerPoint.

  • ๐Ÿง  Problem-Solving Skills: Ability to handle challenges with critical thinking and a calm demeanor.

  • ๐Ÿ—ฃ๏ธ Communication Skills: Strong verbal and written communication abilities.

  • ๐Ÿ”’ Confidentiality: A trusted individual who can handle sensitive information with the utmost discretion.
