Role Overview
G4S Deposita is looking for an Inception Administrator to join our team in Midrand. The successful candidate will be responsible for managing the processing of client cards, coordinating deliveries, and ensuring client satisfaction with the services provided by G4S. You will be the point of contact for clients, handling email communication and delivering exceptional service at every step.
As part of the Inception Department, you will play a key role in maintaining organizational standards, adhering to company policies, and ensuring the smooth operation of daily tasks. Key Responsibilities
๐ Client Cards Processing
- Create and load client cards in line with Standard Operating Procedures (SOP).
- Test and ensure each card meets the quality standards before distributing to clients.
- Log delivery calls from the Call Centre and coordinate with Operations to ensure timely delivery of cards.
๐ Client Communication & Documentation
- Maintain regular communication with clients to keep them informed about their card requests.
- Update clients through email regarding delivery progress and track shipments with waybill numbers.
- Ensure all emails and correspondence follow company standards and guidelines.
๐ง Effective Email Administration
- Manage and organize incoming emails for efficiency and clarity.
- Respond promptly to inquiries and requests, and ensure adherence to company policies regarding email communication.
- Address and resolve technical issues related to email and maintain confidentiality at all times.
๐ General Administrative Duties
- Stand in for team members during their absence, ensuring projects continue smoothly and deadlines are met.
- Assist in attending meetings and keeping stakeholders updated on team progress.
- Collaborate with other team members to ensure the continuity of work and effective task management.
๐ Adherence to Policies & Procedures
- Follow company policies including Information Security Policy, Crisis Management Plan, and the Clean Desk Policy.
- Distribute safety information and comply with safety policies at all times.
The Ideal Candidate
๐ Qualification & Experience
- Grade 12 (Matric) is essential.
- Proven experience in administration or similar roles, particularly in handling client communication and processing tasks.
- Proficient in Microsoft Excel, MS Outlook, and Word.
๐ Skills & Attributes
- Strong problem-solving skills with the ability to work under pressure.
- Attention to detail with a focus on accuracy and quality in every task.
- Excellent communication skills both written and verbal.
